1. Meeting and Agenda was called to order at 6:35 pm at the Mary Siah Rec Center.
2. Last month's minutes accepted.
3. Financial Report- The association is budgeted to cover the winter months. No money is apparent at this time.
4. Board Chair Report- Batting Cage League is still accepting teams. Currently, there are 5 teams .
5. Executive Director Report- Reclassification letter has been approved. All teams have moved up a letter grade from last year's classification.
6. District Commissioner Report- None.
7. Committee Reports
- Gaming Committee- Pull tabs were discussed as a potential money maker. Greg Paul will talk with Dawn Lighthall about moving them to the local bars as well as having them at the softball complex.
- Construction- Jim Richardson spoke with Carl Castle about the Borough helping with the on-going construction project. Starting mid-March, Jim will need assistance with various odd jobs at the complex and is asking for assistance in spreading the word. April 26th is slated as the 2nd Annual Volunteer Day. Work needed will consist of tiling, hanging sinks, setting toilets, hanging sheet rock, partitions, and more. Please notify Jim who will attend so he can best utilize you. City water is not available as of now so the water is not potable. Greg Paul will contact Golden Utilities to have water running by the 3rd of April.
8. Old Business
- Announcement of the secretary position has been appointed by the assocaition- Tracy Kurzenberger (Closed)
- Tournament Award Idea were as follows- Tickets to the fashion show, an award to hang on your ball bag, MVP pins, food vouchers from the concession stand or from local food establishments. (Open)
- Advertisements- Boatel and Club Alaska will consider after the renovations are complete. A formal letter has been drawn for Lowes to donate materials, labor or money to support a playground at the complex. (Open)
- Play It Again Sports will advertise again for the Batting Cage League. Fees are $104 a team up to 4 players. Those who are interested and don't have a team can add their name to the Blog site on the GHSA website. (Open)
- McShane's Carpet Plus has bid for the tile contract. Jim is still waiting for Floorcraft, Lowes, and Home Depot's bid proposal. (Open)
- The association has hired Kate Marshall to run the concession stand during the week. She will be in charge of staffing and stocking the concession stand. A proposal has been made for various teams to run the concessions during tournaments to earn money for traveling teams, etc. (Open)
9. New Business
- Theresa Quakenbush is a fund-raising organizer that would like to organize a Fashion Show in June to coincide with Golden Days. It would consist of 25-30 people, have 8-10 different scenes and last about 2 hours. The Fashion Show will help raise money for the association. One possible location was the Elks Lodge. Theresa is asking the association to make and distribute the flyers. (Open)
- Announcement of field maintenance has been appointed by the association- Jill Cole. A proposal for the Eielson Raven football to help with the upkeep has been made. Greg Paul will look into child labor laws and workmens comp issues. Each member will be required to sign a written contract before working on the grounds. Maintenance may need at least two truck loads of dirt per field to maintain the integrity of each playing field. (Open)
- New sign-up procedures for the up-coming season were discussed like pay-in-full required with a completed packet per team. Each due before the first game . Also, assigning one person per league to collect fees. Make all forms available on-line for processing. Perform roster checks before each game untill all fees are collected. Ask the Borough office, Play It Again, or another private business owners (Kevin from AK Transfers and Designs) to have a drop box for forms since the GHSA office will not be fully manned daily. - There is a request from members to have access to information concerning the association. Bills, statements, and Quickbooks will remain as keep-safe items, but a generic dollar figure of spending can be tabulated and posted on the website. Jim has provided the center wall board for such items, as well. (Closed)
- Marketing will begin this Spring via email, TV stations, and radio. An email was sent to members about pricing of signs that can be posted at the complex along with getting sponsors for each field and dug-out. The association is considering posting a sign facing the road announcing the new GHSA website. (Open)
- Jim Richardson spoke to Greer Tank and Welding about the fuel tank. Greer advises the tank be replaced every 15 years. Our tank is 20 years old, but has been serviced recently with no signs of positive deterioration. Mike Hershey will bring a meter to test the glycol. (Closed)
10. The next Golden Heart Softball Association meeting will be Wednesday, February 13, 2008 @ 6:30 pm at the Noel Wien Library.
